Context of the role

The People Operations team oversees and manages the key milestones throughout the employee lifecycle at the Transfer To group of companies, from onboarding to exit. The team members are employee experience champions and subject matter experts for all first-line employee queries such as payroll, onboarding and offboarding, international mobility, HR policies & compliance, data analytics, and much more!

Key Responsibilities

  • Manage the employee lifecycle of a truly global workforce, exposing you to many different regions, cultures, and HR laws and customs — we have employees in 9 key hubs: Barcelona, Paris, London, Nairobi, Dubai, Singapore, the Philippines, Shanghai, and San Francisco, plus many more in over 20 additional countries. This includes deep expertise in Spain, where you’ll navigate local practices, Social Security processes, and labour regulations.
  • Act as the first point of contact for employee queries globally, providing timely, accurate support across onboarding, offboarding, leaves, and day-to-day HR operations.
  • Draft and manage employment documentation (contracts, offer letters, amendments, terminations) across all regions, including Spain-specific requirements such as burofaxes, finiquitos, and internship agreements.
  • Maintain and audit data in our HRIS (HiBob), ensuring accuracy and confidentiality, including compliance with data protection laws globally.
  • Support leave of absence processes globally, ensuring compliance with local legislation — including Spain-specific medical, maternity/paternity, and IT leaves in coordination with Social Security and payroll.
  • Provide first-line payroll support across regions, resolving common employee queries and coordinating with local vendors.
  • Take ownership of right-to-work and immigration verification globally, including Spain-specific procedures such as NIE applications and visa processes for non-EU nationals, working closely with external legal providers.
  • Partner with local vendors and internal teams to ensure efficient People Ops delivery; in Spain, this includes coordination with legal counsel, occupational health providers (PRL), and other third parties for compliance matters like annual medical check-ups.
  • Monitor and manage employee time and attendance data globally, including oversight of Spain-specific working time records and systems.
  • Stay informed of evolving employment regulations globally and ensure local compliance; for Spain, maintain up-to-date knowledge of requirements such as equality plans, salary registries, and PRL documentation.
  • Contribute to knowledge-sharing by documenting processes and updating internal resources using Confluence, Notion, and Google Workspace.
  • Contribute to global People Ops projects focused on process improvements, system enhancements, and knowledge sharing.
  • Collaborate cross-functionally with Talent Acquisition, Legal, Finance, and People Business Partners to enable smooth processes across the full employee lifecycle.

Alongside these critical day-to-day operational tasks, we offer a unique opportunity to be part of our HR transformation projects. We are on a continuous improvement journey as we automate and implement new practices, tools, and systems to consistently improve our service and support levels to all of our employees.

What We’re Looking For

  • ~3–5 years of experience in HR/People operations, with a proven track record of managing the full employee lifecycle, including onboarding, contractual changes, mobility, and offboarding, ideally within an international or fast-scaling company.
  • Confident in responding to employee queries and providing first-line HR support to employees at all levels, including senior leadership and executive committee members (SLT and EXCO).
  • Strong understanding of Spanish labour law, with hands-on experience applying it in HR/People operations, including using Spain’s Social Security systems (Sistema RED and SILTRA) for employee registrations, contributions, payroll compliance, and reporting (e.g., medical and parental leaves).
  • Experience with HR and collaboration tools such as Zendesk, HiBob, DocuSign, Confluence, Notion, Google Workspace, and advanced proficiency in data analysis using Microsoft Excel, including pivot tables, VLOOKUP, XLOOKUP, and other essential functions.
  • Fluent in Spanish and English, both written and verbal, with the ability to draft, proof, and review legal documents such as employment contracts in both languages.
  • Proven experience in driving process improvements with a proactive mindset, regularly questioning practices and identifying opportunities for streamlining, along with practical HR operations experience in a global environment.
  • French language skills are a plus.
