US People Operations Specialist

  • People Operations
  • US (Remote)

Description

We're looking for a US People Operations Specialist to build and scale the infrastructure behind Reco's US employee experience. You'll own the administration, systems, data, and processes that make the employee lifecycle seamless, compliant, and built to scale; from onboarding through offboarding and everything in between.

This role is for a builder: someone who thrives in a fast-paced environment and reaches for automation and AI-powered tools by default, not as an afterthought. You'll constantly ask "how do we do this better, faster, with less manual effort" and then go build the answer.

You'll partner and interact closely with the broader People Team, IT, Security, Finance, US managers and employees to create a frictionless operational backbone for every employee, at every stage.

Responsibilities

Focal point for employees on all day to day HR Operations: Ordering & shipping equipment for Onboarding purposes, Wellbeing support, office management responsibilities, Expenses monitoring and managing, Timeoff questions and more

Process Excellence & Automation: Own HRIS data integrity and drive automation and self-service across core HR processes. Build and deploy AI tools and automated workflows to cut manual overhead wherever it exists.

System Ownership: Serve as primary administrator for our HR tech stack (HiBob, Windmill, etc.) updating systems and keeping it clean, running regular data audits,, and mapping technical workflows end to end.

Employee Lifecycle & Operations: Own the backend compliance and execution of onboarding, job changes, promotions, leaves, and offboarding. Streamline handoffs across HR, IT, and Legal so nothing falls through the cracks.

Payroll, Benefits & Vendor Oversight: Oversee US payroll inputs and compliance reporting in partnership with Finance and external vendors.

Requirements

  • 3+ years of experience in HR operations, HR administration, People Ops, or a related field.
  • Hands-on experience with an HRIS platform, HiBob experience highly preferred.
  • Working knowledge of US employment fundamentals: I-9 compliance, payroll basics, and benefits administration.
  • Comfort with detail-heavy, high-volume administrative work, paired with a genuine interest in improving how things run.
  • Strong organizational skills and follow-through:you don't let things fall through the cracks.
  • Clear, friendly communication style; you're the kind of person employees feel comfortable asking questions.
  • A proactive mindset: you notice inefficiencies and want to fix them, not just flag them.
