Job Summary:
We are seeking a People Operations Associate to join our HR Operations team at Real Broker. The successful candidate will be responsible for assisting in daily operations on the people team, involving new hire onboarding, maintaining personnel records and payroll files, as well as handling miscellaneous administrative items. This role is a great stepping stone into a broader HR career with exposure to multiple areas of HR, and requires a problem solver mentality with deep attention to detail and white glove customer service attitude.
Duties/Responsibilities:
Facilitate global pre-hire onboarding for both employees and independent contractors, coordinating logistics such as equipment delivery, first-day system access, and timely HRIS registration to ensure a seamless start.
Manage and maintain compliance with U.S. state and local tax requirements by establishing appropriate tax accounts for three active EINs; continuously monitor employee work locations and register promptly with new jurisdictions for SIT, SUI, PFL, WC, and local taxes as needed.
Respond to and resolve government tax notices by reconciling discrepancies, submitting payments, or filing corrections; proactively monitor accounts to avoid late filings or overdue payments and ensure timely resolution of tax-related issues.
Assist in the administration of unemployment claims and communicate any changes in SUI rates to the payroll vendor, ensuring accurate tax calculations and compliance with state guidelines.
Address and remediate compliance gaps related to tax entities, including catching up on missed state or local registrations and processing necessary account closures to maintain accurate records.
Provide comprehensive administrative support to the HR team, including handling incoming and outgoing mail, organizing HR files, and supporting off-cycle payroll processing as needed.
Facilitate timely payroll processing by assisting in the collection and approval of employee timecards, ensuring accuracy and adherence to payroll deadlines.
Complete verifications of employment for current employees, while referring verification requests for agents to the appropriate Support team for resolution.
Draft and distribute promotion letters, coordinate signature collection from employees and managers, and manage documentation for personnel changes.
Handle a variety of miscellaneous HR requests, ensuring timely responses and follow-through using project management tools such as Asana and YouTrack to track progress and completion.
Support international HR operations by assisting in payroll and benefits administration for employees based in India, ensuring adherence to local requirements and timelines.
Required Skills/Abilities:
Prior exposure to Human Resources Information Systems such as ADP or Rippling;
Ability to comprehend the complexity of US multistate taxation and assist in resolving cases with various state jurisdictions;
Strong communication skills, both written and verbal, including impeccable phone etiquette;
Proven time and project managements skills with capability to multitask and keep various parallel processes running on track;
Meticulous record keeping and attention to detail; proactive in finding areas of improvement and implementing solutions;
Operate with a sense of urgency and empathy when addressing employee inquiries.
Education and Experience:
A college degree preferred in Payroll, HR or Accounting, certifications a plus;
1-3 years of experience assisting with taxation, payroll, and/or HR administration.
