Description
Optibus is looking for a Workplace manager to join our People Team. As an Workplace Manager, you will have the opportunity to grow and develop your career while being part of a high growth SaaS scale-up, on a mission to redefine the future of mass transit. You will be based in our Tel Aviv office and support all our office needs.
About you:
- You have proven experience as an office/workplace manager or in an equivalent role in a fast-growing company
- You have excellent oral and written communication skills (Hebrew & English)
- You are proactive and able to pivot, re-plan and reprioritise with short notice when things change or don’t go to plan
- You’re organised and you strive for creating process and documentation where it’s needed
- You have hands-on experience in project or event management and you have handled multiple projects while dealing with several stakeholders
- You are curious and have a solution-oriented mindset
Workplace Manager Responsibilities include:
- You will be the first point of contact for all employees and will collaborate with the people team to support onboarding (preparing a security card, health & safety, adding to the relevant Slack channels, etc.)
- Reception duties –you will be responsible for managing the reception area and ensure that all guests are properly received, identified, and directed to the appropriate contacts in the office.
- You will manage internal and external partners (property management, suppliers, service providers, tradesmen, etc.)
- You will be in charge of our communal spaces and order management (snacks, drinks, office supplies, Optibus swag)
- You will collaborate on growing and maintaining a company culture based on humility, inclusion and belonging while taking care of appreciation initiatives (birthdays, anniversaries)
- You will collaborate with cross-functional teams and local leadership on planning and organising company happy hours, gatherings, events/parties, meetings and off-sites
- You will support the Operations team
- You are the point of contact and will take the lead on health and safety topics
Requirements
Requirements:
- At least 2 years relevant experience in a similar role
- Fluency in both English & Hebrew (Written and Verbal)
- Able to be present in the office 5 days each week; we have client meetings on-site and many people in our team are working from the office regularly
- Excellent time management skills and ability to multitask and prioritize work
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Attention to detail and problem solving skills
- Reliability and discretion: you will be around sensitive information
- Strong communication and relationship-building skills
- You are a high performer who thrives in a fast-pace environment
- You are collaborative, humble and a problem-solver
