Job Summary
The Accounts Payable (AP) Accountant is responsible for managing vendor relationships, processing invoices, and ensuring accurate and timely payments. This role performs general accounting functions focused on AP and expense reports, maintains compliance with tax regulations, and supports month-end close processes. The AP Accountant collaborates with internal departments and third-party consultants to streamline workflows, improve processes, and maintain effective financial operations.
The position is based in the Stockholm office and can be performed remotely when necessary. Applicants must hold Swedish citizenship or EU permanent resident status.
Job Responsibilities
- Process and verify invoices, matching them to purchase orders and receipts for accuracy across multiple entities.
- Prepare and execute weekly payment runs, including ACH, checks, and wire transfers.
- Review and verify employee expense reports for compliance with company policies.
- Record daily bank transactions and perform reconciliations for accounts associated with each entity.
- Communicate with vendors to resolve discrepancies or payment issues, and maintain AP aging reports to follow up on overdue items.
- Coordinate with third-party consultants to ensure accurate AP records for international subsidiaries and maintain statutory compliance.
- Ensure GAAP compliance and correct application of VAT codes on transactions, and support tax reporting needs.
- Lead AP reconciliation processes for soft month-end close and hard quarter-end close for the assigned entities.
- Assist in the annual audit and tax return preparation by providing supporting documentation and maintaining strong internal controls.
- Identify areas for process improvement in AP workflows, suggest changes for efficiency, and provide training to new team members on AP procedures.
Minimum Qualifications, Education, and Skills
- Bachelor's degree or equivalent experience.
- Solid understanding of accounts payable functions, including invoice processing, payment runs, and vendor management. Demonstrated experience in a finance or accounting role with the ability to resolve discrepancies, reconcile AP accounts, and assist with audits. Proficiency in accounting software and a proactive approach to improving AP processes is required.
- Expert analytical and technical skills excellent communication, and project management skills.
- Proficiency in using accounting software and Excel, with the ability to leverage advanced features for AP reporting and reconciliation. Strong analytical skills for identifying and resolving discrepancies in accounts payable.
- Ability to lead small projects, innovate within the role, and provide training to peers.
- Capable of managing time effectively and prioritizing multiple tasks to meet deadlines.
- Independently manages AP processes, from invoice verification to payment processing. Identifies areas of improvement in AP processes and initiates workflow changes to enhance efficiency.
- Comprehensive knowledge of industry standards, company operations, and advanced methodologies.
- In-depth knowledge of accounts payable practices, vendor management, and regulatory compliance. Familiarity with company-specific AP policies and procedures.
