Overview
The Senior Office Manager is responsible for leading and managing comprehensive workplace operations across multiple locations or a large-scale corporate campus that supports the entire enterprise. This strategic role oversees complex administrative functions, leads workplace services teams, manages high-value vendor partnerships, and serves as a senior point of contact for executive leadership and associates. The Senior Office Manager ensures that facilities, infrastructure, supplies, and services are delivered in a professional, efficient, and cost-effective manner to maximize productivity, associate engagement, and operational excellence while strategically managing operating expenses and driving continuous improvement initiatives on behalf of all corporate teams.
Duties and Responsibilities
Strategic Operations & Leadership
- Lead strategic planning and execution of workplace operations across single or multiple office locations
- Develop and implement policies, procedures, and best practices for workplace management
- Provide leadership and mentorship to office management staff and administrative teams
- Partner with senior leadership to align workplace operations with organizational goals and growth strategies
- Drive innovation in workplace services and identify opportunities for operational excellence
Facility & Workplace Management
- Oversee comprehensive daily operations, ensuring all workplaces are clean, safe, well-maintained, and compliant with regulatory requirements
- Serve as senior point of contact and escalation resource for complex associate questions and critical office needs
- Manage building maintenance, custodial operations, and capital improvement projects
- Oversee maintenance, repair, and replacement of office machinery, equipment, and building systems
- Manage complex facilities-related service contracts, negotiate terms, and ensure vendor accountability
- Lead large-scale workplace initiatives including office relocations, build-outs, expansions, consolidations, and space optimization projects in partnership with the Senior Director of Real Estate and Workplace Services
- Serve as the primary senior liaison with building ownership, property management, and landlord representatives
- Develop and maintain comprehensive space planning strategies, including seating assignments, capacity analytics, and workplace utilization reports
- Forecast space needs based on company growth projections, workforce planning, and business strategy
- Ensure adequate and optimized space allocation for employees, consultants, contractors, temporary staff, and visitors
Financial Management & Budget Oversight
- Develop, manage, and monitor annual operating budgets for workplace operations across assigned locations
- Conduct variance analysis and provide detailed financial reporting to senior leadership
- Lead annual budget planning process, including forecasting and justification of expenses
- Identify and implement cost-control measures and drive significant savings in purchased and contracted services
- Review, approve, and manage all office overhead expenses within delegated authority
- Negotiate vendor contracts and service agreements to optimize value and service delivery
- Establish and maintain vendor relationships with authorized suppliers for office supplies, equipment, and services
Service Delivery & Experience Management
- Ensure conference rooms, collaboration spaces, and common areas are well-stocked, properly equipped, and maintained to professional standards
- Coordinate or oversee timely cleaning and setup of meeting spaces after each use
- Procure and manage general office services including temporary personnel, day porters, and specialized services
- Partner with building management to resolve complex issues including repairs, HVAC systems, pest control, window treatments, lighting, and other building systems
- Collaborate with Security, IT, HR, Legal, and other internal departments on cross-functional facilities-related projects and initiatives
- Lead vendor performance management and service level agreement compliance
Culture & Engagement
- Champion the development and maintenance of an office culture that promotes openness, collaboration, friendliness, productivity, and exceptional internal and external client satisfaction
- Plan, coordinate, and execute corporate events, leadership meetings, town halls, and culture-building initiatives
- Serve as a visible leader and advocate for associate workplace experience
- Implement and manage programs that enhance associate engagement and workplace satisfaction
Compliance & Risk Management
- Maintain compliance with all company policies, procedures, mission statement, and regulatory requirements
- Adhere to all confidentiality and HIPAA requirements as outlined within the Company's Operating Policies and Procedures in all ways and at all times with respect to any aspect of the data handled or services rendered
- Ensure workplace safety compliance and coordinate emergency preparedness programs
- Manage risk mitigation strategies for facilities-related matters

Job Requirements
Experience
- Minimum 10 years of progressive administrative support, office management, or facilities management experience required; preferably in a large corporate environment
- Minimum 3-5 years in a senior or leadership capacity managing teams, budgets, and complex workplace operations
- Demonstrated experience managing multi-location operations or large-scale corporate facilities preferred
- Proven track record of leading successful office relocations, expansions, or consolidation projects
- Experience with vendor management, contract negotiation, and service level agreement oversight
- Background in budget development, financial management, and cost optimization

- Exceptional interpersonal and communication skills for building strategic relationships and influencing stakeholders at all levels of the organization, including C-suite executives
- Strong leadership abilities with experience coaching, mentoring, and developing team members
- Collaborative and team-oriented with ability to lead cross-functional initiatives

- Advanced proficiency with computers and Microsoft Office suite (Word, Excel, PowerPoint, Outlook) with the ability to create professional documents, complex reports, financial analyses, and presentations
- Experience with workplace management systems, space planning software, and facilities management tools preferred
- Demonstrate exceptional professional oral and written communication skills with executive presence
- Strong analytical and problem-solving capabilities
- Work effectively as both a team leader and independent contributor
- Excellent time management, prioritization, and organizational skills
- Sound judgment and discretion when handling confidential information
Education
- Bachelor's degree required (Business Administration, Facilities Management, or related field preferred)
- Professional certifications such as Facility Management Professional (FMP), Certified Facility Manager (CFM), or related credentials preferred
- Continuing education in workplace management, leadership, or related areas a plus
Physical Demands and Work Environment
- Sedentary work with extended periods of sitting
- Occasional requirement to walk through facilities, climb stairs, and conduct site inspections
- Exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects
- Repetitive motions including keyboarding and computer use
- Subject to inside environmental conditions with occasional exposure to outdoor conditions during site visits
- May require occasional travel between office locations
- Availability for occasional evening or weekend work to support events or address facility emergencies
