Job Description Summary
The Collections Specialist is responsible for managing and executing the collection of past-due rent and fees across a portfolio of multifamily properties. This role ensures compliance with fair housing laws and company policies while working closely with residents, property managers, and legal teams to resolve delinquencies in a timely and professional manner.
What You’ll Do (Functions & Responsibilities)
- Manage the collections process for past-due balances owed by property management companies (PMCs) or individual properties based on current aging reports (0–90+ days).
- Work assigned accounts designated by the Collections Manager, prioritizing outreach based on age and risk level of outstanding balances.
- Monitor accounts receivable aging daily and proactively follow up on outstanding invoices to ensure timely payment.
Communicate directly with PMC contacts (e.g., regional managers, accountants, or corporate billing teams) to resolve outstanding balances and discrepancies.
Qualifications
What We’re Looking For (Minimum qualifications)
- High school diploma or equivalent required; associate or bachelor’s degree in business, finance, or a related field preferred.
- 2+ years of experience in accounts receivable, B2B collections, client account management, or a related financial role — experience in the multifamily housing industry is a plus.
- Strong understanding of billing and collections processes, including interpreting aging reports and reconciling account discrepancies.
- Experience working with property management companies, corporate accounting departments, or similar third-party vendors is preferred.
- Excellent written and verbal communication skills — able to interact professionally with external clients and internal teams.
- High attention to detail with strong organizational and follow-up skills.
- Proficient in Microsoft Excel and accounting or ERP systems (e.g., NetSuite, QuickBooks, Sage); experience with CRM or ticketing systems a plus.
- Ability to prioritize workload and manage multiple assigned accounts in a deadline-driven environment.
- Self-motivated and comfortable working independently within a structured framework set by the Collections Manager.
- Knowledge of accounts receivable best practices and familiarity with standard contractual billing terms (e.g., Net 30, Net 60).
