Job Description
The Event Planner for Inhabit’s Short-Term Rental (STR) Division plays a key role in planning and executing both in-house events and third-party industry conferences. This position requires strong organizational skills, attention to detail, and the ability to manage multiple events simultaneously. As a part of the larger marketing team, this role focuses on logistics, brand representation, sponsorships, and ensuring a seamless event experience. The Event Planner will work closely with internal teams, external vendors, and event sponsors to ensure that every event aligns with Inhabit's business goals. This role reports to the National Events Manager and supports the execution of up to 100 events annually, including small tabletop events, major trade shows, and internal user conferences.
What You'll Do (Functions & Responsibilities)
- Collaborate with internal clients, including Divisional Marketing Leaders, Product Owners, and Corporate Leadership to plan and execute high quality in-house and third-party industry event, including small tabletop events, major tradeshows, and internal user conferences (upwards of 100 events annually).
- Assist in organizing all event details including but not limited to budget creation, venue selection, decor, catering, entertainment, transportation, invitee list, and event staffing.
- Assist in developing detailed event plans and timelines, working with vendors to secure contracts, get fair prices for services, as well as complete venue inspections to ensure they meet the event requirements.
- Assist in planning and executing Rise and Shine, overseeing promotional marketing, attendee communication, and logistical coordination to ensure a seamless event experience.
- Focus on brand collaboration and group sponsorship to both leverage the visibility of the brands while negotiating sponsorship costs.
- Communicate with clients along each stage of the event planning process, getting approval on event details, as well as evaluating event success.
- Develop ancillary event marketing channels such as sponsorships, speaking opportunities, and promotional plans.
- Take the lead on 3rd-party conference session organization and submissions, ensuring Inhabit’s presence at key industry events such as VRMA, VRNation, and other leading conferences. This includes coordinating with internal subject matter experts, preparing submission materials, and tracking deadlines.
- Prioritize tasks and manage multiple events simultaneously while providing excellent customer service.
- Manage event logistics such as shipment coordination, booth setup, and breakdown.
- Lead the Short-Term Rental Division brand swag management, including inventory tracking, ordering, distribution, and ensuring alignment with brand guidelines.
- Review invoices and facilitate payments.
- Create and provide post-event reports, summarizing key takeaways, performance metrics, and areas for improvement.
Qualifications
What We're Looking For (Minimum qualifications)
- 5+ years of experience in corporate event planning, with a focus on branded events and trade show management.
- Proven experience negotiating contracts and managing budgets for conferences and events.
- Strong project management skills, with the ability to handle multiple events at various stages of planning.
- Excellent communication and relationship management skills, working with internal teams, vendors, and sponsors.
- Proficiency in Microsoft Office Suite and event management software (e.g., Cvent, Eventbrite, or similar).
- Strong attention to detail and problem-solving skills in high-pressure environments.
- Ability to travel up to 3-4 weeks per year, with potential for additional travel based on business needs.
- Preferred Qualification:
- Previous experience in a marketing or event coordination role.
- Familiarity with industry-specific events and trade shows in the Short-Term
- Rental (STR) or Residential industries.
- Experience working with senior leadership and cross-functional teams to execute high-level events
Education Requirements
- Degree preferred or equivalent relevant experience.
Travel Requirements
- This role requires 3-4 weeks of travel per year. Additional travel may be required depending on business needs.
