Description

We are seeking a highly organized and proactive Part-Time Executive Assistant to support our executive leadership team. This role is ideal for a detail-oriented professional with strong administrative skills who thrives in a dynamic environment. The Executive Assistant will provide calendar management, travel coordination, administrative support, and communication management.

The ideal candidate will have previous experience supporting senior-level executives and a proven ability to handle confidential information with discretion. This part-time role offers flexibility with approximately 20-25 hours per week.

  • Manage and coordinate complex calendars, ensuring accurate scheduling and resolving conflicts.
  • Arrange domestic and international travel, including itineraries, accommodations, and transportation.
  • Prepare and organize meeting materials, agendas, and presentations.
  • Handle sensitive information with a high level of professionalism and confidentiality.
  • Draft, proofread, and manage executive correspondence.
  • Facilitate communication between the executive team and internal or external stakeholders.
  • Track and follow up on action items to ensure timely completion.
  • Assist in planning and organizing events, conferences, and executive meetings.
  • Conduct light research and prepare reports as needed.
  • Provide additional administrative support to other team members as required.

Qualifications

  • 3+ years of experience as an Executive Assistant or in a similar administrative role.
  • Excellent organizational and time management skills with attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, particularly Excel, for reporting, data analysis, and tracking collection efforts.
  • Experience managing calendars and scheduling using tools such as Outlook.
  • Self-starter who is comfortable working independently, managing multiple priorities, and escalating accounts appropriately.
  • Professional attitude with a customer-centric approach, while remaining firm and focused on achieving collection goals.
  • High level of professionalism, confidentiality, and discretion.
  • Experience planning board functions, monthly parties and annual events.
