Role Purpose

As the Facilities Manager for the Fanatics Collect Vault in Oregon, you will own the day-to-day operational readiness, safety, security, and facility management of our Oregon Vault location. You will ensure the site runs efficiently, meets strict environmental and security requirements for high-value collectibles, and consistently supports business, fulfillment, and customer-facing initiatives associated with the Vault.

Key Responsibilities

  • Oversee all facilities operations for the Oregon Vault, including building systems (HVAC, electrical, plumbing), security infrastructure, life-safety systems, janitorial, grounds, and general upkeep.
  • Manage small- to mid-scale capital or operational projects at the Oregon site — such as climate-control improvements, racking installations, security/access-control enhancements, or workflow/space-planning upgrades.
  • Maintain a proactive environment of safety and operational excellence: quickly address maintenance issues, environmental concerns, or risks that may impact the safety or integrity of high-value stored collectibles.
  • Conduct routine facility audits to confirm compliance with Vault standards, operational policies, environmental controls, and security requirements.
  • Develop and manage facility budgets (operational expenses and capital projects), monitoring spend, forecasting needs, and presenting financial updates to leadership.
  • Serve as the central coordinator between internal teams — Vault Operations, Security, Inventory/Authentication, IT, Procurement, and Corporate Real Estate — ensuring alignment on physical space needs and site performance.
  • Manage vendor relationships for maintenance, janitorial services, building systems, landscaping, security tech, and specialty contractors; monitor vendor performance and ensure contractual compliance.
  • Identify opportunities to improve facility reliability, reduce operational costs, expand preventive maintenance, and streamline workflows within the Oregon Vault.
  • Implement standardized operating procedures that ensure the Vault maintains best-in-class security, environmental control, and service delivery standards.

Qualifications & Desired Background

  • Bachelor’s degree (or equivalent experience) preferred — ideally in Facilities Management, Operations Management, Engineering, Architecture, or a related field.
  • ~7+ years of facilities or operations management experience — ideally in a warehouse, fulfillment center, specialized storage environment, or high-security facility.
  • Experience managing staff or cross-functional teams, with the ability to influence without direct authority.
  • Strong vendor-management skills, with proven success in negotiating services, evaluating performance, and overseeing third-party contractors.
  • Demonstrated ability to manage operational and capital budgets, monitor expenses, and drive cost-efficient decision-making.
  • Ability to work in an agile and fast-moving environment where maintenance needs, operational demands, or security protocols may shift rapidly.
  • Strong communication skills, capable of collaborating with operations, security, leadership, and technical partners.
  • Willingness to work on-site full-time in Oregon and respond to occasional off-hours or emergency facility needs.

Additional Preferred Experience

  • Understanding of security systems, access controls, CCTV, and processes relevant to protecting high-value inventory.
  • Knowledge of environmental control, including managing humidity, temperature, air quality, and other conditions that impact collectibles.
  • Experience in environments where chain-of-custody, audit standards, and risk mitigation are critical.
  • Familiarity with warehouse workflows, inventory handling, and optimized facility layouts.
