About The Role
We are looking for an Office Manager to be the beating heart of our Amsterdam HQ. In this hands-on and varied role, you are the go-to person for everything that keeps our office running. From managing vendor relationships and service contracts to making sure the space is safe, compliant, and ready for the people working in it every day; with a smile, and bringing smiles to people’s faces.
And the timing couldn't be more exciting, later this year, we're moving to a brand new Amsterdam office. You will play a key role in making that transition a success, helping shape the look, feel, and flow of a workspace that truly reflects who we are as a company. You will own the full facilities function: coordinating maintenance, managing suppliers & supplies, welcoming guests and making sure first impressions count. You work closely with the People Team and are the primary contact for our building management, external service providers, as well as all your internal customers: your colleagues!
We are looking for someone with a strong sense of ownership who is comfortable navigating a fast-moving scale-up environment, knows what to do and what to delegate, communicates with ease in both Dutch and English, and takes initiative before things become problems. You regularly step back to review how things are working and introduce improvements, whether that's a smarter process, a better tool, or a simpler way of getting things done.

What you will do
Own day-to-day office operations, cleanliness and safety, supplies and supplier relationships, and access & visitor management, while handling maintenance requests end-to-end, from logging the issue to making sure it's resolved
Manage all facility vendors and contracts, tracking budgets, and handling invoice processing in collaboration with Finance; from routine deliveries to contract renewals
Maintain clear and up-to-date office documentation: floor plans, supplier contacts, access policies, and operating hours, while keeping the office safe & compliant through BHV
Set new joiners up for a strong first day, send out communications to all stakeholders, ensuring their workspace, access, and equipment are ready before they arrive
Take care of our monthly office drinks, from planning and logistics to setup and communications, so each edition runs without a hitch
Play an active role in our bigger events, including the Summer Party, Christmas Party, and our annual company offsite DataSnipper GO. Jumping in on vendor coordination, on-site logistics, and anything else that needs a second pair of hand, eyes and most of all your creativity.
Regularly review existing office processes and workflows, identifying opportunities to reduce manual effort, introduce better tools, and improve how the office operates, and then act on them.

This is an office-based role, with an expectation to be present in the Amsterdam office five days per week
What you bring
Proven experience in office management, facilities coordination, or a comparable role
Fluency in both Dutch and English is required. External communication with vendors, suppliers, and building management is conducted in Dutch, while internal communication is in English
BHV certification is a pre, or a willingness to obtain one. You will be one of the responsible BHV persons for the Amsterdam office
Strong organizational skills and attention to detail, particularly when managing contracts, renewals, and supplier follow-ups
A proactive mindset; you notice things that need fixing and act on them without being asked
A hands-on mentality; whether it’s moving a desk, receiving a delivery, or stepping in wherever needed, you roll up your sleeves and get things done
The ability to structure your work effectively and make sound judgments when priorities shift or conflict. You know what to tackle first and when to ask for input
Excellent interpersonal skills and the ability to communicate clearly across all levels of the organization
Experience working independently in a fast-paced environment where priorities can shift quickly
An open attitude towards feedback. You actively seek it, apply it, and offer it to others in a constructive way

You are comfortable with tools like Microsoft, Notion, Slack, and actively explore how AI tools can make your work smarter, whether that's automating repetitive tasks, drafting communications, or finding faster ways to get things done
