Our technology goes beyond traditional measures of heart disease by enabling comprehensive quantification and characterization of atherosclerosis, or plaque buildup, in each of the heart arteries. Cleerly’s solutions are supported by more than a decade of performing some of the world’s largest clinical trials to identify important findings beyond symptoms that increase a person’s risk of heart attacks.
At Cleerly, we collaborate digitally and use a wide variety of systems. Our people use Google Workspace (GMail, Drive, Docs, Sheets, Slides), Slack, Confluence/Jira, and Zoom Video, prior experience in these areas is a plus. About the Team
The Medical and Scientific Affairs, Core Lab, Regulatory and AI/Innovative Product Affairs teams share dedication and passion to release innovative products that will guide physicians to lower the number of heart attacks in their patients by providing a personalized assessment of risk. The teams cover the origination of product ideas, clinical trials and studies to provide data, FDA submissions and the clinical use of these products. We are highly enthusiastic, dedicated and engaged professionals from many different ways of life and backgrounds that have found a common motivation for our work - to help doctors and patients to lower the risk of heart attacks.
About the Opportunity
As the Project Manager & Executive Assistant, you will operate as a strategic partner and operational engine to the Chief Medical, Scientific, and AI Officer (CMSAIO). In this hybrid role, you’ll lead cross-functional initiatives, drive project execution, and act as a communication and coordination hub across the Medical and Scientific Affairs, Core Lab, Regulatory and AI/Innovative Product Affairs teams . This is a high-visibility, high-impact position suited for a resourceful, detail-oriented professional who excels in both big-picture thinking and day-to-day execution.
TTC*: $212,000 - $229,000
*Total Target Compensation (TTC): Total Cash Compensation (including base pay, variable pay, commission, bonuses, etc.). We hire employees anywhere within the United States and account for geography when determining base salary.
Responsibilities
- Cross-Functional Project Management and Oversight
- Organize and coordinate cross functional activities, including in person retreats, to define high priorities for the company
- Lead and track the execution of these cross functional workstreams
- Coordinate teams from different departments to ensure timely progress on strategic deliverables, proactively identifying risks and removing blockers.
- Executive Support
- Serve as an extension of the Chief Medical Scientific and AI Officer, manage and coordinate meeting agendas, track action items, and ensure alignment across leadership
- Prepare executive briefing materials, board updates, and internal communications to maintain transparency and momentum.
- Manage the CMSAIO calendars/scheduling, meetings/attending to the executive's duties in their absence.
- Communication & Stakeholder Engagement
- Help the teams to further grow together and develop efficient and effective processes that allow for scalability and extension of range
- Operates as the information and communication hub for the CMSAIO’s office, ensuring clarity, consistency, and timeliness in messaging across the org.
- Facilitate seamless collaboration across internal stakeholders, external partners, and executive peers.
- Act as the first point of contact for inquiries, priorities, and follow-ups on behalf of the CMSAIO.
- Process Improvement & Operational Optimization

- Build and refine workflows that improve organizational efficiency within and across CMSAIO departments.
- Lead special projects to streamline operations, align priorities, and build scalable infrastructure.
- Maintain clear documentation and reporting structures to ensure team accountability and visibility.
Requirements

7–10 years of experience supporting C-level executives, ideally in healthcare, life sciences, or high-growth environments.

Expertise in project management, organizational communication, and executive support.

Strong ability to synthesize complex information and translate it into actionable plans.

Adept at influencing and collaborating across multiple functions and levels.

High EQ and integrity; able to navigate sensitive conversations and strategic ambiguity with professionalism.

Excellent written/verbal communication and presentation skills.

Comfortable operating with autonomy in fast-paced, evolving environments.
